Important Information

For the 68th Annual Meeting, the presentation format for Free Paper presentations has been revised as follows:

In line with the three axes of the 68th Annual Meeting—"To Share," "To Connect," and "To Open"— we aim to put these principles into practice not only through the scientific program but also within the Free Paper presentation sessions. We hope to create a forum for intellectual exchange and dialogue where every participant can discuss, collaborate, and share insights, fostering co-creation and mutual understanding.

To this end, poster presentation will be the only available format for Free Papers at this year's meeting. Selected candidates for the Best Presentation Award will have the opportunity to deliver an oral presentation in the Best Presentation Candidate Session.
In addition, poster presentations will be conducted without assigned individual presentation times. Presenters are requested to stand by their posters during the designated poster session period and engage in free discussion with participants.

Please review the above information carefully before submitting your abstract.

Please note that the 68th Annual Meeting will not include a Late Breaking Session. Accordingly, there will be no call for Late Breaking abstracts.

Furthermore, as this meeting will be held in Niigata, the announcement of abstract acceptance results is scheduled to be earlier than usual to allow presenters sufficient time to make travel arrangements. Accordingly, the abstract submission period will also be set approximately one month earlier than in previous years. We kindly ask all prospective applicants to confirm the submission period and prepare their materials well in advance.

When to submit abstracts

There will be no extension of the submission deadline. Please submit your abstracts before the deadline.

Abstract Submission Guidelines

  1. Abstract Restrictions
    Submit ONLY ONE abstract per first author, with the exception of co-presenters.
    *Registration by first author in person is required.
  2. Information to submit
    • Language of presentation: English
    • Presentation category: Please check the Category list for details.
    • Names of first author (presenter) and co-authors: No more than 20 presenters
    • Affiliations of first author (presenter) and co-authors: No more than 10 affiliations
    • Abstract title: No more than 100 half - width (1-byte) characters including spaces in English
    • Abstract format
      • - Abstracts must be submitted in English.
      • - Abstracts should be no more than1,600 half-width (1-byte) characters including spaces in English.
      • - The abstract should be divided into succinct sections for "Objective," "Methods," "Results," "Conclusions," and so on. There is no need for line breaks after headings or between lines. Even if you insert line breaks using tags, they will not be reflected in the abstract book
      • - Incomplete abstracts (i.e. abstracts with typos, missing letters/words, missing specific numbers, missing "Objective," "Methods," "Results," and "Conclusions" sections, etc.) will not be accepted, so please be especially careful when preparing abstracts for submission.
  3. Eligibility for Abstract Submission
    • The first author must be a doctor or a researcher engaged in clinical neurology, neuroscience research, or related fields, and must agree with the mission and activities of JSN
    • The first author himself/herself should register for the meeting and submit an abstract.
      Submission of an abstract by a co-author on behalf of the first author is not permitted.
    • The presenting author must be the first author of the submitted abstract.
  4. Guidelines for ethical considerations
    The submitting author certifies that any work with human or animal subjects reported in this abstract complies with the guiding principles for experimental procedures endorsed by the ethical review board of the country in which the study was done.
    Abstracts must comply with relevant ethical guidelines for human and/or animal research, and authors may be asked to provide additional documentation.

    For studies conducted in Japan, applicants are required to comply with the following requirements:
    Applicants may submit only abstracts describing research conducted in accordance with all applicable laws, regulations, ethical guidelines, and the rules of their affiliated institutions. Relevant requirements include, but are not limited to, the Act on Securing Quality, Efficacy and Safety of Products Including Pharmaceuticals and Medical Devices (PMD Act), the Act on the Safety of Regenerative Medicine, the Clinical Research Act, the Ethical Guidelines for Life Science and Medical Research Involving Human Subjects, and the ethical regulations of the applicant's institution (including those governing animal research).

    For research requiring ethical review, approval by the institutional ethics review committee (or equivalent) must have been obtained, and all procedures required under the regulations of the applicant's institution must have been completed before the research was initiated. Abstracts describing research conducted without the required ethical procedures cannot be accepted.

    Transitional Policy for Small Case Reports at the 68th Annual Scientific Meeting:
    Abstracts based solely on a single case will not be accepted.
    However, for the 68th Annual Scientific Meeting, in consideration of continuity with the current abstract submission regulations, abstracts describing retrospective reports of small numbers of cases may be accepted without rejection solely due to the lack of approval from an institutional ethics review committee, provided that all of the following conditions are satisfied:

    • The report retrospectively summarizes no more than nine cases encountered during routine clinical practice.
    • The reported cases were not selectively extracted from a larger series.
    • The report includes no intergroup comparison, no longitudinal comparison, and no hypothesis testing or other statistical analyses.
    • The report involves no intervention or invasive procedure conducted for research purposes.
    • The report does not evaluate efficacy, safety, prognosis, outcomes, associated factors, or similar endpoints by treating multiple cases as a single study population.

    Describing an individual patient's response to treatment as part of the clinical course does not, by itself, constitute an analysis of multiple cases as a group.
    Abstracts involving 10 or more cases are not eligible for this transitional policy. Even when submitted as case reports, such abstracts must obtain approval from the institutional ethics review committee for the 68th Annual Scientific Meeting.
    This is a transitional policy established solely for abstract submission, acceptance, and peer review at the 68th Annual Scientific Meeting. It does not alter the general definition of a case report.

  5. Guidelines for abstract contents
    • Submitted abstracts must be unpublished at the time of submission. Abstracts that have already been presented at other academic conferences are not eligible. However, submission is permitted if the study has progressed beyond the previous presentation, for example through the addition of new cases, updated data, or further analyses.
      Please note that abstracts based on published papers are not eligible. However, manuscripts that have been posted on preprint servers are not considered formally published and are therefore eligible for submission.
    • Submitted abstracts will be peer-reviewed, so please avoid any mention of your affiliation in the title or body of your abstract.
    • When referring to drugs by name, please be certain to use the generic name.
    • It is mandatory to report the actual number of cases and/or laboratory animals/test specimens analyzed at the time of abstract submission.
      [Note] Authors are required to read "Guidance on Scientific Validity and Reproducibility" prior to submission.
      Failure to provide numerical data may result in rejection of the abstract.
    • In principle, the abstracts should not report on single cases.
    • If the content infringes upon patients' personal information, informed consent must be obtained from the patient or their representative and the presentation must carefully avoid identifying any individuals. We prohibit presentations that include information, such as hospitalization dates, that could be used to identify individuals.
    • If the first author is not a native English speaker, the abstract should , in principle, undergo English-language review by a native English speaker, a professional editing service, or a generative AI tool prior to submission. Please note that abstracts may be rejected if the English is deemed inadequate for peer review.
    • The use of generative AI to generate the content of abstracts is prohibited. However, it is permissible to use it for proofreading and editing the language of already written abstracts.
    • The Committee of Reviewers will review all the submitted abstracts, and the decision on abstract acceptance will be made by the Program Committee. Please note that a submitted abstract could be rejected based on the review results.
  6. Encore Abstract Submission
    For the 68th Annual Meeting of the Japanese Society of Neurology, Encore Abstract submissions will be accepted only if all of the following conditions are met:
    • The abstract must have been presented at an international scientific meeting held outside Japan within one year prior to the submission to this meeting.
      Please note that international meetings held in Japan are not eligible.
    • The content of the presentation must faithfully reflect the data and interpretations of the original presentation. (Addition of co-authors is not permitted.)
    • As with other Free Papers, the presenting author must be the first author (the submitting author).
    • The presenting author (first author) must be the first author of the original abstract. If the original first author cannot serve as the presenter, a co-author of the original abstract who was substantially involved in the study (e.g., clinical trial) may serve as the presenting author.
      If the presenter is Japanese, they must be a full member of the Japanese Society of Neurology.
    • If copyright issues apply, it is the responsibility of the presenter to obtain the necessary permissions.

    • Abstracts must be submitted in English.
    • Please add "E#" at the beginning of the abstract title to clearly indicate that it is an Encore Abstract.
    • After receiving the abstract submission confirmation email, please reply promptly by adding "(Encore Abstract)" at the end of the subject line. In your reply, you must provide the following information to the Abstract Office (jsn-abs@gol.com) by 12:00 PM (noon), October 26 (Mon):
    • A statement indicating that the submission is an Encore Abstract.
    • Details of previous presentations of the same work.
    • The abstract publication page (URL or PDF)
      Please note that submissions that do not meet the deadline may not be eligible for review.
  7. Others
    • No matter what the reason, revisions to abstracts after submission deadline will not be accepted. The office will not request revisions for accepted abstracts. Submitted abstracts will appear as accepted in Clinical Neurology (vol. 67, issue Supplement). Revisions to abstracts after the annual meeting will not be accepted, so please prepare your abstracts with care.
    • The registration ID number and password are automatically generated, and sent to the first author by E-mail. You can view/edit/delete abstract at any time until the final deadline.
  8. Best presentation awards
    The JSN reviewers will give the best presentation awards to the best presenters in nominees. For this year's meeting, poster presentation will be the only available format for Free Paper. However, selected candidates for the Best Presentation Award will have the opportunity to deliver an oral presentation in the Best Presentation Candidate Session. The awards ceremony will be held in the Get Together on May 19 (Wednesday).

Disclosures of conflicts of interest

To promote appropriate forms of collaborative clinical research between industry and academia and ensure neutrality and transparency in presentations on clinical research findings based on sound science and ethics, all presenters are expected to disclose any "conflicts of interest" (COI).
When submitting proposals, please select "yes" or "no" in the field for "Do you have any conflicts of interest?" on the screen. If "yes," then please download and fill out the COI application form and send it to The Japanese Society of Neurology Secretariat office (jsn-abs@gol.com) as an e-mail attachment no later than November 6 (Friday), 2026. Technical questions regarding conflicts of interest should also be directed to the Society Office.

Notification of Acceptance

Once the program is finalized, the acceptance/non-acceptance of abstracts will be announced on this website around mid-January. Please make a note of the "Abstract Entry Number (seven-digit number) " which will be shown in the E-mail sent immediately upon completion of your abstract submission. With the Abstract Entry Number, you will be able to find information such as presentation schedule, format and location on this webpage.
The decision on abstract acceptance is entirely up to the Program Committee.
No matter what the reason, requests for changes to the presentation schedule will not be accepted.

Deadline for Congress Registration by the First (=presenting) Author

Deadline for Congress Registration by the Presenting Author:
Monday, March 15, 2027, 5:00 PM (JST)

Please note that any abstract for which payment of the congress registration fee cannot be confirmed by 5:00 PM (JST) on Monday, March 15, 2027, under the first (presenting) author's name), will be automatically withdrawn.
If payment cannot be completed by the deadline due to institutional or administrative procedures (e.g., your institution's accounting process), please contact the Congress Registration Office in advance.

For this congress, a presentation will be considered officially completed only when all of the following requirements have been fulfilled:

  • Payment of the early congress registration fee by 5:00 PM (JST) on Monday, March 15, 2027;
  • Presentation at the congress (for poster presentations, this includes poster display as well as on-site presentation and discussion); and
  • Publication of the abstract in the Supplement Issue of Clinical Neurology.

Information for Speakers

Poster presentations
  • The anticipated size of poster panels is 210 cm tall × 90 cm wide. The Congress Secretariat will prepare the panel with only the presentation number at the top. Presenters are responsible for writing the presentation title, presenter name(s), and affiliation(s) horizontally within a 20 cm by 70 cm space.
  • In large, easy-to-understand language, the posters should present the Main Points as well as the Purpose, Methods, Results, and Discussion, all in that order. Text should be written in a large font that can be read from a distance of two to three meters, while diagrams should be at least 20 cm on a side and include a title and brief explanation.
  • The panels cannot be written or drawn on directly, nor can items be glued to them.
  • Pins to attach posters to the panels will be provided at the conference.
  • The schedule, etc. for poster presentations will be announced after notifications of abstract acceptance have been made.
  • Presentations should adhere to ethical rules of research as well as rules for protecting personal information.
  • Whether or not a presenter has any conflicts of interest, they must include a conflict-of-interest disclosure statement in their presentation. Please use "Form 4-F."
  • For this meeting, no individual presentation time will be assigned. Presenters are requested to remain at their posters during the designated poster session time and engage in free discussion with participants.
    Please note that presenter attendance will be monitored during the poster session. If a presenter is not present at their poster for the entire duration of the session, the presentation will not be recognized as an official presentation record.
Oral presentations (For Presenters in the Best Presentation Award Session Only)
  • PC projectors are available for use.
  • Video projectors are not available, but video can be projected from PCs.
  • Presentation data must be provided on media (USB flash memory or CD-R). In the case of video, please bring your own PC.
  • Presentations should adhere to ethical rules of research as well as rules for protecting personal information.
  • Whether or not a presenter has any conflicts of interest, they must include a conflict-of-interest disclosure slide in their presentation. Please use "Form 4-D" or "Form 4-E."
  • Please do not use the company logos or product logos for the presentation slides.
  • The presentation time for oral Free Papers is scheduled as 10 minutes for presentation and 5 minutes for discussion per presenter. Please note that this schedule may be subject to change depending on program arrangements.

Travel Grant

The Japanese Society of Neurology welcomes abstract submissions from neurologists worldwide for presentation at the Annual Meeting, covering clinical studies and basic research. If a Travel Grant is approved, part of travel expenses (excluding accommodation expenses) will be covered by the Society. Please confirm the instructions before you apply for travel grant.
